How to Plan an Office Move with Zero Downtime

An office move is one of the most complex logistical operations a business can undertake. Unlike a house move, a commercial relocation affects staff productivity, client relationships, IT infrastructure and business continuity simultaneously. With proper planning and an experienced commercial removal company, it is entirely possible to relocate your office with zero working-day downtime.

Start planning at least 3 months in advance

The biggest mistake businesses make with office moves is underestimating the lead time required. A commercial move affecting more than five staff members should begin planning at least three months before the intended move date. Larger offices - twenty or more staff - may require six months or more of planning.

The first step is to appoint a single internal project manager who owns the move from start to finish. This person coordinates between the removal company, the IT team, the landlord and the staff. Without clear ownership, decisions slow down and problems fall through the gaps.

The IT infrastructure is always the critical path

In almost every office move, the IT infrastructure is the element that takes longest to plan and is most likely to cause downtime if not managed correctly. Before anything else is decided, your IT team or IT support provider should be involved in planning the move. Key questions to address include: how will servers be transported or migrated to cloud infrastructure, how will phone systems be transferred, what is the lead time for broadband installation at the new premises, and will any hardware need to be replaced or upgraded at the new address.

Broadband installation at new commercial premises can take four to eight weeks from order. This must be booked well in advance of the move date to avoid the business operating without adequate connectivity in the new premises.

Plan an out-of-hours move

The most effective way to achieve zero downtime is to move over a weekend. Staff finish work on Friday in the old office and arrive at the new office on Monday morning. This requires careful planning - everything must be packed, transported, unloaded and set up between Friday evening and Monday morning.

Relokates offers weekend and out-of-hours commercial removal services specifically designed for this scenario. Our teams work through the night if required to ensure the new office is fully set up and functional before staff arrive on Monday.

Label everything with staff names and room numbers

Give each staff member a set of coloured labels with their name and new desk location before packing begins. Everything on their desk - monitors, accessories, personal items, desk contents - goes in boxes labelled with their name. On arrival at the new office, each person's items go directly to their new desk without any sorting or confusion.

Communicate with staff early and clearly

Staff who feel informed about and involved in an office move are significantly more positive about the change. Communicate the move date, the new address and any changes to working arrangements as early as possible. If the new location affects commute times for some staff, address this proactively.

Practical information staff need before moving day includes: the new office address and postcode, details of any changes to parking or transport access, the desk allocation plan at the new office, any changes to IT equipment or phone numbers, and who to contact with questions or problems on moving day.

Notify clients and suppliers in advance

Update your address on your website, email signatures, LinkedIn, Companies House and all supplier accounts at least two weeks before the move. Send a change of address notification to all active clients and key suppliers. Ensure any post or deliveries due around the move date are redirected or held.

The move day itself

On move day, the removal team should have a clear floor plan of the new office showing exactly where each item of furniture and equipment is to be placed. This eliminates time-consuming repositioning after delivery. A designated member of staff should be present at both the old and new premises throughout the move to answer questions and manage access.
